From nothing to a registered NGO with a working back office

A newly founded NGO started with an idea and a small budget. It had no internal structure, no legal registration and no digital foundation. I built the operating model with the founding board, including roles and responsibilities. I supported the legal registration and set up the digital base: domain, server space, website base and member email addresses. Each function got its own workspace, handbook and routines, from communications and HR to fundraising and tech, plus a member intake flow and a low-cost way to collect the first donations. The board ended up with a back office that worked from day one, and introductions to trusted specialists for the legal and design work outside my role.

About the Project:

The NGO started with little more than an idea and a small budget. The founding board needed support turning that idea into a functioning organisation, with a clear internal structure, the right basic infrastructure, and systems that could grow without becoming difficult or expensive to maintain.

My Process:

I worked with the founding board to build the organisation from scratch. I created the internal structure needed for the NGO to operate, supported the process of registering it legally, and set up the basic systems and tools for communication, coordination, fundraising, and teamwork. I also directed the board to trusted expert freelancers, including legal advisors, graphic designers and other specialists, for the areas outside my role. Each part of the organisation was then set up by someone who knew that part.

Deliverables:

  • Operating model and internal structure, with roles and responsibilities

  • Digital foundation: domain, server space, website base, and professional member email addresses
  • Internal workspaces for Communications, HR, Fundraising and Tech, each with governance, handbooks and routines
  • Member and volunteer intake flow, including automated welcome emails and branded next steps
  • A structure for collecting early donations, built on low-cost and mostly open-source tools

Results:

The founding board received a ready-to-use foundation for the NGO instead of having to figure out every part of the setup on their own. They also got first versions of the handbooks and working routines, plus introductions to the specialists who handled legal and design. With the core structure and tools in place, they could bring in new members without repeating the same explanations or rebuilding the setup each time.
